A
Brief Overview: Sending Faxes by Email
Many larger organizations continue to use
fax, and as such, most people will have to send a fax at some point during the
course of any given year. However, these often find that they cannot gain
access to a fax machine. Fax machine are largely obsolete for most people. There
is a solution, though; people have the option of sending faxes via their email
account. Below, we are going to explain a bit more about the process, and
provide you with a basic overview.
What are the Advantages of Sending Fax
to Email?
There are several benefits of sending email to fax , or fax to email (it works in both directions). The main advantages
include:
·
It is paperless. The fax is
sent or received, or both, via electronic means, and so there is no need to
print out the fax.
·
There is no need to hold up the
phone line, or to pay for a line that is dedicated to fax. In the past, businesses
needed to have their own dedicated telephone line just for fax. This was relatively
costly. Today, though, the email to fax services use the broadband lines, so
there is no need for an additional line, nor to pay for each individual phone
call.
·
The process allows the sending
and receiving of multiple faxes. In the past, we would have to wait for each
fax to be sent before sending the next, and each fax could take between one
minute and five minutes to actually send – there was a lot of wasted time.
·
We are no longer tied down to
the fax machine. Today, we can send and receive faxes wherever we have an
internet connection. This means that we do not have to hunt around for a fax
machine that we can use – which are rare nowadays, given that they have become
largely obsolete.
As you can appreciate, these advantages are
relatively advantageous, and most of them save money, which is another
advantage. In fact, the cost of line rental and telephone calls are
substantially reduced. Faxing was an incredibly expensive overhead in the
businesses of yesteryear.
How to Send Fax to Email?
There are several ways of sending faxes via
email, but the most common type, and the type that you are likely to encounter,
uses a fax server that is networked to the internet. This server has the
capacity to ‘translate’ the digital information of an email to the analogue
information of a fax, and vice versa.
Either the fax server can be located within
your own network, or it can belong to a specialist internet fax provider. For
the latter, you simply register an account and follow their straightforward
instructions; you will use your email program me and simply email the fax to a
specific address.
Why Use the Service?
1.
You do not have to pay for a
fax machine. You may pay for your own fax server/modem, or just pay a third
party to use theirs.
2.
You can send faxes anywhere
that you have an internet connection.
3.
It is safe and secure – in some
ways, it is more secure than email.
